On the first day of the month, the accountant opens three files for the same month of sales: the order list from your software, the marketplace's payment report and the bank statement. Each file gives a different total, and whoever owns a file is sure theirs is the right one.
All three can be right. Reconciling marketplace payouts means matching those three sources by order ID: the orders in your own system, the marketplace's payment statement and your bank statement. The payout is usually lower than the order total because the marketplace deducts commission, transaction fees, shipping, discounts, refunds and withheld tax before it pays you.
This post is for sellers on Shopee and TikTok Shop in Vietnam. Fee rates and effective dates come from the two marketplaces' seller help pages, checked on 22 October 2026.
The three sources in a payout reconciliation
- Orders: order ID, item value, the discounts you applied, the shipping fee the buyer paid. This lives in your sales or accounting software.
- The marketplace statement: the report showing how much each order paid out and what was deducted.
- The bank statement: the money the marketplace actually transferred to you. Each transfer usually bundles many orders.
The order ID links the first source to the second. The second links to the third through each withdrawal. The three steps below follow exactly those two links.
Three steps to reconcile Shopee and TikTok Shop payouts
Step 1: Cut the period by payout date and export the statements
We recommend checking dates before checking money. An order placed at the end of the month can be paid out the next month, and if you cut the period by order date, the two sides disagree before you have started.
- Cut the period by payout date. Shopee records "Ngày hoàn thành thanh toán" (payout completion date) in its income report. TikTok Shop records "Settlement date" in its list of settled transactions. Use these dates to define the period.
- Export the Shopee statement. In Kênh Người Bán (Shopee's Seller Centre), choose Tài chính (Finance), then Doanh thu (Income). Under Chi tiết (Details), choose Đã thanh toán (Paid out), pick a time range, click Xuất (Export) and download the file. It has sheets for the overview, service fee details, income adjustments, shipping fee differences and income (by order or by product). Exported reports can be viewed again for 6 months.
- Export the TikTok Shop statement. In Seller Center, choose Finance, then Transactions, then Settled, and click Export. The Excel file has four tabs: order details, a settlement summary, withdrawal history and an explanation of fee types.
Step 2: Match orders to the statement by order ID
Use the order ID as the key. For each delivered order, check two things: whether the order is on the statement for the period, and whether the item value after discounts matches.
- Find orders missing from the statement. These are usually orders that are not yet due for payout.
- Shopee lists an order under Chưa thanh toán (Not yet paid) while it is in transit or the buyer has not tapped Đã nhận được hàng (Order received). The money is credited to Số dư TK Shopee (your Shopee balance) as soon as the buyer taps Order received, or on the 4th day after successful delivery if there is no return request, or right after a return or refund request is resolved.
- TikTok Shop lists the order under To settle. The amount there is an estimate, and the actual settlement can differ slightly. Settlement time counts from the delivery date: 1, 3, 8 or 15 days depending on your shop's tier. You can see your tier in Account Health, under Shop Health.
- Explain every difference on every order. For each line, take the item value after discounts, add or subtract the shipping amount, then subtract the fees and taxes in the table further down. The result should equal the amount the marketplace recorded. Where a line does not match, note the order ID and the item you suspect.
Step 3: Match the statement to the bank statement
Money does not travel from each order straight to the bank. The marketplace pools it, you withdraw it, and the bank statement only shows each withdrawal.
-
Compare each withdrawal total with the bank statement.
- Shopee credits money to your Shopee balance first. You withdraw it by requesting a payment, either automatically on a schedule or manually. According to Shopee's help page, money reaches your bank account within 24 hours of the withdrawal request, though in some cases it takes about 3 to 4 working days. One withdrawal a month is free; from the second one, Shopee charges 10,800đ per withdrawal. The Shopee balance page also carries shop-level items not tied to an order ID, such as affiliate marketing commission or campaign package fees, so the balance can move by more than the sum of the orders.
- TikTok Shop: the withdrawal history tab in the export lists each withdrawal. Compare each withdrawal total with the matching line on the bank statement.
Don't try to find individual orders on the bank statement. They are not there.
-
Log what is still unexplained and carry it to the next period. For each unexplained amount, note the order ID, the amount, the suspected cause and who is handling it. Amounts that belong to orders not yet paid out move to the next period. If you suspect a wrong shipping charge, you can open a support ticket with TikTok Shop with photos of the parcel's weight and dimensions.
Why the payout differs from the order total on Shopee and TikTok Shop
Back to the three numbers from the start of the month. The gap between the order total and the payout usually sits in the items in the table below. Fee rates and dates are as of the date we checked (22 October 2026), and both marketplaces change them periodically, so compare them with the notices in Kênh Người Bán or Seller Center before relying on them.
| Item | Shopee | TikTok Shop |
|---|---|---|
| Category commission | Phí Cố Định (fixed fee), charged per category fee schedule, VAT included. Sellers outside Shopee Mall moved to a new schedule from 23 May 2026. | Platform Commission Fee = (product price − seller discount) × the category rate. Platform subsidies and shipping are not included. |
| Transaction fee | Phí Xử Lý Giao Dịch (transaction processing fee) of 6%, VAT included (sellers outside Shopee Mall, from 1 May 2026), charged on (product price before Shopee's subsidy + shipping paid by the buyer − seller promotions − bank promotions). | Transaction Fee of 6% for orders created after 00:00 on 9 May 2026, charged on (amount paid by the customer + platform discount − refunds to the customer). Shops may get a reduction based on their advertising spend ratio from 21 October 2026. |
| Service and order processing fees | Phí Dịch vụ (service fee) for the Shopee service packages you have signed up for, shown on the service fee details sheet. | Order Processing Fee of 3,000đ per successfully delivered order, tax included, from 27 October 2025. Not refunded if the order is returned after delivery. |
| Shipping | Shipping is estimated when the order is created; the actual fee is known after completion. Orders whose actual fee exceeds the estimate appear on the shipping fee difference sheet. | Seller shipping fee = actual shipping fee − fee paid by the customer − platform subsidy. It first shows as "Estimated" and may get an "Adjustment" line after the platform's review. |
| Discounts and vouchers | Discount codes and coin cashback created by the seller are deducted from income. Shopee's subsidy sits in its own column. | The order value after seller discounts is the basis for fees. Platform discounts and co-funded vouchers appear as separate lines. |
| Returns and refunds | Amounts refunded to buyers and the items on the income adjustment sheet. The fixed fee and the transaction processing fee also apply to orders with an accepted Hoàn tiền ngay (instant refund) request, except where the reason is that the item was not received. | Return shipping is charged to the seller when the seller is at fault. For self-arranged returns, filter for the fee type "Deduction Incurred by Seller". |
| Withheld tax | From 1 July 2025, Shopee withholds and pays tax on behalf of hộ kinh doanh (household businesses) and individual sellers: for goods, 1% VAT and 0.5% personal income tax on income after seller discounts. Companies are not covered. | From 1 July 2025, the platform withholds VAT and PIT for household businesses and individuals. The example in its guide uses 1% and 0.5% on the price after seller discounts. The amount appears under Fees. |
| Shop-level items not tied to an order | Affiliate marketing commission appears in the report's surcharges. Campaign package fees sit on the Shopee balance page. | Creator (affiliate) commission, penalties, compensation and ad top-ups from your balance can also appear on the statement. |
Example: what a 200,000đ order actually pays out
The figures below are assumptions to illustrate the calculation, not data from either marketplace or from any client. Assume the same 200,000đ order of goods on both marketplaces, a household business seller, a 20,000đ seller voucher, and a buyer who pays 15,000đ shipping with an actual shipping cost of 15,000đ, so net shipping is zero. A fixed fee of 10,000đ on Shopee and a commission of 8% on TikTok Shop are assumed rates for an arbitrary category.
| Item | Shopee | TikTok Shop |
|---|---|---|
| Product price | 200,000đ | 200,000đ |
| Seller voucher | −20,000đ | −20,000đ |
| Fixed fee or commission | −10,000đ | −14,400đ (8% × 180,000đ) |
| Transaction fee | −11,700đ (6% × 195,000đ) | −11,700đ (6% × 195,000đ) |
| Order processing fee | none | −3,000đ |
| Withheld tax (1% + 0.5% × 180,000đ) | −2,700đ | −2,700đ |
| Payout | 155,600đ | 148,200đ |
The buyer pays 195,000đ for this order (200,000đ minus the 20,000đ voucher, plus 15,000đ shipping). That 195,000đ is also the base for the transaction fee in this example. Your reconciliation is right when you can explain how the 195,000đ the buyer paid became the 155,600đ or 148,200đ you received.
On the bank statement, neither number shows up on its own. Both are buried in the total of a withdrawal covering many orders, which is why step 2 has to be finished before step 3.
When to automate payout reconciliation
A spreadsheet still works when you have a few hundred orders a month on one or two marketplaces. It gets heavy as orders grow, as you add marketplaces, or when the statements and the books live in different software.
We at Scaled Loop build the connections that sync orders and marketplace statements into the accounting books, so the order-by-order matching runs on its own and the accountant only handles the lines that don't match. If you want to see how far your current reconciliation could be automated, the 60-minute workflow review below is the place to start.
The three month-end numbers will never agree on their own. Your job is to know where every đồng of the gap went.
Frequently asked questions
How long does Shopee take to pay out to my bank account?
Money from a Shopee order travels in two legs. First, it is credited to your Shopee balance when one of three things happens: the buyer taps Order received, the 4th day after successful delivery passes with no return request, or a return or refund request is resolved. Second, once you create a withdrawal request, Shopee says the money usually reaches your bank within 24 hours, sometimes taking 3 to 4 working days. The first withdrawal each month is free; each one after that costs 10,800đ.
How many days does TikTok Shop take to settle an order?
TikTok Shop's settlement wait depends on your shop's tier: 1, 3, 8 or 15 days, counted from the delivery date. To see how long your shop waits, open Account Health in Seller Center and look under Shop Health. Orders not yet settled sit under To settle, and the amount there is only an estimate, so what you actually receive can differ slightly.
Do Shopee and TikTok Shop withhold tax from household businesses before paying out?
Yes. From 1 July 2025, both Shopee and TikTok Shop withhold tax for household businesses and individual sellers before paying out. For goods, Shopee withholds 1% VAT and 0.5% personal income tax on income after seller discounts, and the example in TikTok Shop's guide uses the same two rates. Sellers registered as companies are not covered by Shopee's withholding.
How long can I view an exported Shopee income report?
An income report exported from Shopee's Kênh Người Bán can be viewed again for 6 months. If you need to keep reconciliation data longer, download the file and store it with the books for that period.
